Terms and Conditions

 
The aim of R&S Chalet Collection is to provide you with a first class holiday of an unparalleled standard. In order to maintain our level of service and exceed our customers’ expectations, the following terms and conditions will apply to all bookings. Please contact us if you have any questions regarding the booking terms.

Contract

All bookings must be confirmed in writing by completing the booking form and submitting it to the R&S Chalet Collection email address (this is automatic on pressing the submit button). Upon receipt of the completed booking form and payment of the booking deposit (as detailed below) a confirmation of booking will be sent. When the booking confirmation has been sent, a contract will be deemed to exist between R&S and the sender of the booking form whom confirms that he/she is duly authorised to bind all members of the party to the terms of this contract. Once the Booking Contract comes into existence, R&S undertake to maintain the agreed cost of the holiday.

Deposit

Upon booking a deposit of £150 GBP per person becomes payable prior to the acceptance of the booking and the inception of the Booking Contract. Full payment of the remaining balance of the holiday cost is due 10 weeks before the holiday start date. If you are booking closer than 10 weeks to the start of your holiday, the full amount is payable immediately. Where a price is quoted in Sterling (£GBP), any payments taken on Visa or MasterCard will be processed in €Euros using the exchange rate taken from www.xe.com on the day of payment. Please note that not all card issuers use this same exchange rate and R&S have no liability for any difference in costs resulting from different exchange rates being applied to the payment.

Cancellation

In the event that you should wish to cancel your holiday, you must notify R&S immediately. The following cancellation charges shall apply dependant on when the notification is received: Cancellation charge as % of Total cost of holiday More than 10 weeks before arrival date: Deposit More than 8 weeks before arrival date: 20% More than 6 weeks before arrival date: 40% More than 4 weeks before arrival date: 60% More than 2 weeks before arrival date: 80% 2 weeks or less before arrival date: 100% Please note that for part cancellation of an exclusive use booking there is no refund due.

Arrival & Departure times

Bedrooms are available from 15:00 on day of arrival and need to be vacated by 10am on day of departure. We will do everything we can to have rooms available for you on arrival at whatever time you come to the chalet but they can not be guaranteed before 15:00 on arrival day. On departure day we will also try to leave room check out time as late as possible but this can not be guaranteed after 10am due to change-over schedules. On both arrival and departure days guests have continued access to communal areas of the chalet outside of these times whilst waiting for airport transfers etc so please note that other guests may be at the chalet for a period during this time.

Changes to your Holiday

In the unlikely event that R&S Chalet Collection need to amend your holiday, we will undertake to let you know as soon as possible. In the event that R & S Chalet Collection need to cancel your holiday then a complete refund of all monies paid to us will be made. If R & S Chalet Collection can offer an alternative chalet of an equal of higher range (silver, gold, platinum) for the same period of travel then our standard Cancellation Policy will apply if you chose not to accept the alternative. If R & S Chalet Collection can only offer an alternative chalet of a lower range (silver, gold, platinum) then a refund in the difference in cost of the holiday will be made or you have the right to cancel your holiday with a full refund.
 
We cannot be responsible for refund of any costs incurred with parties other then ourselves. In the event that you wish to amend your holiday in any way, we shall do our best to accommodate any changes although in the event that we cannot meet your request we reserve that right to treat the booking as cancelled.

Insurance

It is essential that all people in your booking have suitable travel insurance. You should be aware that not all travel insurance provides suitable cover for mountain activities. Please feel free to contact us if you require further information in this regard.

Accompanied Activities

In the event of R&S staff accompanying you on any mountain activities, it is your responsibility to ensure that you do not exceed your individual abilities. R&S staff can provide advice on suggested routes and their difficulties but they are not qualified mountain guides and as such any undertaking by you of suggested routes or activities is done so entirely at your own risk.

Coaching / Instruction

Your booking contract includes no element of coaching with R&S or their members of staff. Any coaching or instruction received on your holiday from third parties forms no part of the booking contract. 

Force Majeure

R&S Chalet Collection cannot be held responsible in the event of any change or cancellation of any part of your holiday in anyway because of industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, or any other unforeseen circumstances.

Transfer Services

Where airport transfers have been booked, a small delay may be incurred in the event of incompatible flight times although we will endeavor to minimise any such delays should they occur. You and members of your booking travel in R&S vehicles entirely at your own risk.

Your Behaviour

R&S Chalet Collection expect all guests to behave in such a way as to not prejudice our reputation, or cause any offence to our other clients, neighbours, suppliers, or anyone else associated with R&S. In the event of any infringement on this expectation, we reserve the right to terminate the contract with immediate effect and demand you vacate the chalet.

Use of Chalets and Equipment

Use of R&S chalets and supplied equipment is undertaken entirely at your own risk. Please note that use of cooking facilities by guests in the chalets is not permitted at any time including staff night off.

Liability

We reserve the right to recover any costs incurred as a result of breakages, damage to the accommodation, or any other unexpected costs incurred by R&S caused with or without intent by the customer. We do not accept liability for any loss or damage to property suffered by you unless caused by the negligence of our company.

Third Parties

Bookings can not be made on behalf of Third Parties without the prior consent of R&S.

Complaints

In the event that you should have any complaints about your holiday, you must inform the R&S staff as soon as possible. In the event the complaint is not resolved to your satisfaction, you must confirm details of the complaint in writing to the address provided by the R&S staff.
